The dinner circle
1. Scope and Definitions
1.1 These General Terms and Conditions (“Terms”) govern all offers, services, and agreements provided by The Dinner Circle (“Company”).
1.2 The “Client” refers to any natural or legal person engaging the Company’s services.
1.3 An “Agreement” is formed upon written confirmation by the Client and acceptance by the Company, including payment of any required deposit.
2. Applicability and Precedence
2.1 These Terms apply exclusively to all legal relationships between the Company and the Client.
2.2 Any deviation from these Terms shall only be valid if expressly agreed in writing.
2.3 The Client’s own terms and conditions are expressly excluded unless accepted in writing by the Company.
3. Proposals and Booking Confirmation
3.1 All proposals, quotations, and offers issued by the Company are non-binding and subject to availability.
3.2 A booking is deemed confirmed only upon:

Written acceptance by the Client; and
-
Receipt of the agreed deposit.
3.3 The Company reserves the right to decline any engagement at its sole discretion. -
4. Pricing and Payment Terms
4.1 All prices are expressed in Euros (EUR) and are exclusive of VAT unless explicitly stated otherwise.
4.2 A non-refundable deposit of [30%] is required upon confirmation.
4.3 The remaining balance shall be settled no later than [7 calendar days] prior to the scheduled event date.
4.4 In the event of late or non-payment, the Company reserves the right to suspend or cancel its services without liability.
4.5 Any additional services or variations requested by the Client shall be invoiced separately.
5. Modifications and Final Confirmation
5.1 All modifications must be communicated in writing and remain subject to the Company’s approval.
5.2 The final number of guests must be confirmed no later than [5 calendar days] prior to the event and shall serve as the minimum invoicing basis.
5.3 Reductions in guest numbers after this deadline shall not result in a price reduction.
6. Cancellation Policy
6.1 All cancellations must be submitted in writing.
6.2 The following cancellation fees shall apply:

More than 14 days prior to the event: deposit retained

Between 7 and 14 days: 50% of the total agreed fee

Less than 7 days: 100% of the total agreed fee
6.3 Any third-party costs already incurred shall remain fully chargeable to the Client.
7. Execution of Services
7.1 The Company shall perform its services with the highest professional standards consistent with its premium positioning.
7.2 The Client shall ensure that the venue is accessible and adequately equipped, including but not limited to:

Sufficient space
-
Access to utilities (electricity, water, etc.)

Compliance with applicable safety standards
7.3 Any delays or impediments attributable to the Client may result in additional charges.
8. Liability and Indemnification
8.1 The Company shall only be liable for direct damages resulting from proven gross negligence or willful misconduct.
8.2 In all cases, the Company’s liability shall be strictly limited to the total value of the Agreement.
8.3 The Company shall not be held liable for:

Allergic reactions or dietary issues not communicated in advance

Damages resulting from inaccurate or incomplete information provided by the Client
8.4 The Client agrees to indemnify and hold the Company harmless against any third-party claims arising from the event.
9. Force Majeure
9.1 The Company shall not be held liable for failure or delay in performance due to force majeure, including but not limited to:

Natural disasters
-
Pandemics or governmental restrictions
-
Supplier failures
-
Illness or unforeseen staff shortages
9.2 In such cases, the Company reserves the right to reschedule or terminate the Agreement without liability.
10. Equipment and Property
10.1 All materials, equipment, and tableware provided by the Company remain its exclusive property.
10.2 The Client shall be responsible for any loss, theft, or damage occurring during the event and shall reimburse replacement costs at full value.
11. Complaints and Claims
11.1 Any complaints must be communicated immediately during the event or, at the latest, within 24 hours thereafter.
11.2 Failure to notify within this period shall result in the forfeiture of any claim.
12. Intellectual Property and Branding
12.1 The Company retains all rights to its concepts, menus, presentation styles, and branding.
12.2 The Company reserves the right to use images or footage of events for promotional purposes unless the Client explicitly objects in writing prior to the event.
13. Governing Law and Jurisdiction
13.1 These Terms shall be governed exclusively by Belgian law.
13.2 Any disputes shall fall under the exclusive jurisdiction of the competent courts of Belgium.
14. Acceptance
By confirming a booking, the Client acknowledges having read, understood, and accepted these Terms in full.
